Primary Responsibilities:
- Coordinate and schedule meetings, appointments, travel, and conferences for individuals and teams.
- Respond to inquiries and route communications appropriately, advancing when necessary.
- Prepare, format, and edit a variety of documents including correspondence, reports, meeting minutes, and presentations.
- Compile and summarize financial and operational data to support budget planning, workforce tracking, and departmental reporting.
- Manage internal communications and distribute key information across the department.
- Order office and clinical supplies, and coordinate equipment maintenance.
- Process invoices, reimbursements, and expense reports; manage provider checkbooks and financial tracking.
- Maintain organized filing systems and documentation for easy access and compliance.
- Support physician referral processes, including acquiring authorization for referrals and managing physician referral workflows.
- Serve as a UKG/Time editor and may act as the department’s Safety Representative.
- Assist with insurance verification and ensure accurate documentation for patient and provider needs.
Education Requirements:
- Minimum requirement: High School Diploma
Work Experience Requirements:
- Minimum: 2 years of office and administrative experience
- Preferred: Additional experience in healthcare or clinical administrative support is a plus
Preferred Skills & Experience:
- Familiarity with Concur for travel and reimbursement processing.
- Experience managing provider checkbooks and physician referral workflows.
- Understanding of insurance processes and healthcare administrative operations.
- Strong attention to detail, excellent communication skills, and a collaborative approach.
