Position Summary
The coordinator position is essential to managing academic and administrative tasks within the Electrical Systems & Engineering department. The role is primarily focused on tasks such as editing the university bulletin, supporting the undergraduate program, ensuring student success by monitoring progress and maintaining records, managing student recruitment for MS/PhD programs, and organizing student events and seminars.
Job Description
Primary Duties & Responsibilities:
Ensures student success through all facets of the academic Program including, but not limited to:
- Monitors and records student progress through all phases of their academic program(s). Maintains confidential student records. Aids with degree audits before conferral.
- Track milestones for theses and projects.
- Coordinates with McKelvey PhD Coordinator to manage ESE PhD student reviews and monitor academic progress
- Collaborates with McKelvey Student Services to manage academic programs.
- Cultivates, writes, edits, and disseminates student handbooks.
- Serves as the administrative liaison for the ESE Committees as needed.
Workday Student and Bulletin Support
- The Coordinator is primary editor of the department’s sections (all academic programs) of the university bulletin, as well as coordinating bulletin revisions and approval from faculty overseeing various degree programs.
- The Coordinator will assist department chair, associate chair, and program directors to pull student program reports and student information from Workday
Student Recruitment
- Is an integral member of the MS/PhD Admissions Committee developing and managing the recruitment lifecycle to ensure deadlines are met.
- Develops recruiting materials, regular reports, statistical analysis, and summaries on a regular basis for faculty and staff.
- Coordinates with McKelvey Graduate Student Services on the maintenance of the database of prospective ESE students, facilitates prospective student information sessions and student visits.
Student Events and Seminar Coordination
- Manages and disseminates the policies and procedures for departmental seminars and in collaboration with the seminar committee.
- Responsible for preparation and implementation of seminar logistics. Creates and disseminates seminar advertisement opportunities.
- Oversee ESE 5980 in Canvas ensuring accurate attendance reporting and individual student requirements are met.
- Contributes to the initiatives, planning, and development of graduate student events in association with Graduate Student Services and McKelvey Engineering.
- Coordinate and assists with departmental events (e.g., Winter Research Symposium and ESE Day) in partnership with ESE staff.
Undergraduate Program Support
- Assist the department ABET committee in
- Provide support for the undergraduate student advisory board
- Serve as main point of contact for undergraduate students and work with faculty to develop, send and maintain emails, flyers, and website and other communication materials.
- Assist in undergraduate student recruitment in coordination with Engineering Undergraduate Student Services and Washington University Admissions

Salary Range
$21.17 - $32.85 / HourlyThe salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
