Position Overview
ESSENTIAL FUNCTIONS
- Understands ACGME requirements and works with Program Director and GME department for compliance and implementation of program changes as accreditation requirements change.
- Provides Capital Health Graduate Medical Education Department with timely, accurate information for all accrediting agencies, including but not limited to Duty Hour Monitoring, Resident assignments and other reports as needed for ACGME, CMS, state and Joint Commission. Electronically manages Duty Hours and assures compliance including monitoring and tracking off-site rotations in an accurate and timely manner, according to GME Dept. CH Finance Dept. ACGME and CMS requirements.
- Assists Program Director, by performing a variety of support duties pertaining to the recruitment of residents. Assures ERAS system is online, downloads and filters files in a timely manner to meet established deadlines. Answers inquiries from and arranges interviews for prospective residents. Coordinates interviewing schedules between applicants, faculty and residents and processes all date pertinent to the hiring process.
- Serves as liaison with public and private organizations particularly those involved with the credentialing, licensing and supervising the residents and program. Includes but is not limited to certifying boards. ERAS, AAMC, NRMP, and ACGME. Maintains current information on requirements from all agencies involved.
- Coordinates scheduling and tracks all documents for residents related to graduate medical education requirements, including but not limited to BLS, and ACLS In-Training Exam and Board Exam preparation.
- Reviews budget requirements regularly, maintaining records of all Resident and Faculty expenditures and provides regular budgetary reports to the program director and GME Administrator and Capital Health as requested.
- Monitors New Innovations Evaluation module monthly and reports compliance to Program Director. Coordinates schedule and electronic data reports for the Clinical Competency Committee. Enters Milestone data into ACGME ADS to document resident progression in training program. Assists Program Director in coordinating residency program events such as In-Training Exam, Orientation, Graduation functions, etc. Acts as proctor and assistant as needed.
- Serves as a liaison with departments at Capital Health such as Human Resources, Accounting, Materials Management, etc. Maintains confidential personnel files for residents, processes time and tracks PTO in accordance with policy and procedure. Processes timely and accurately requisitions, invoices and expense reports, determines appropriate accounting codes, and obtain necessary signatures.
- Assists in the coordination and maintenance of web-based information, including intranet site and residency internet sites and information.
- Maintains Program Director's calendar with accuracy, updating as changes occur. Schedules meetings and coordinates meeting arrangements, including facilities, catering, and logistics assuring smooth functioning of events. Makes travel arrangements as needed. Attends meetings, taking and distributing minutes, as required by Program Director.
- Organizes data and information on a regular basis, maintains binders for ACGME review. Ensures maintenance of hard copy and computer files regularly. Maintains existing databases in standard and specialized database applications. Coordinates alumni relations, including maintaining data base, surveys, etc.
- Prepares, edits, and proofreads letters, memoranda, documents, and presentations from drafts or independently in a timely manner. Performs a variety of clerical tasks. Answers phone, makes copies, sends, and receives faxes as required. Reviews, determines appropriate disposition of, and respond to mail, faxes, email in a timely manner.
- Develops Block Schedule, monthly rotation schedules, on-call schedules and Health Center clinical schedules, under Program Director or designee's direction according to ACGME requirements. Coordinates off-site rotation process providing required documents to receiving facility, communicating with appropriate Capital Health departments (Risk, Legal, GME, etc.) and maintains documentation in resident file. Coordinates workflow according to the Academic Calendar meeting deadlines for accreditation activities, assisting Program Director in a pro-active manner, with flexibility for unplanned events.
- Maintains Portfolio and custom data modules of New Innovations updating data on scores, Scholarly Activity, and Milestones on a regular basis.
MINIMUM REQUIREMENTS
- Education: Associates degree. Bachelor's degree preferred. Five or more years GME experience considered in lieu of degree.
- Experience: One year previous experience in medical or academic setting.
- Knowledge and Skills: Familiarity with teaching program accreditation requirements. Possesses strong organizational skills and excellent oral and written communication. Ability to establish priorities and demonstrate initiative, creativity and flexibility while identifying solutions to challenges.
- Special Training: Strong computer skills including Microsoft Office. Knowledge of office scheduling processes. Experience in using a variety of computer software systems commonly used in GME offices, including developing expertise in New Innovations or preferred.
