Job Overview
The RWJBH The Security Department Administrative Assistant provides comprehensive clerical and administrative support to the Security Department at Children’s Specialized Hospital (CSH), overseeing multiple operational functions across all CSH locations. This role is crucial in maintaining the efficiency and organization of security operations, particularly related to administrative support.
Qualifications:
Required:
- High School Diploma or GED.
- Minimum of 2 years of administrative or clerical experience, preferably in a healthcare or security-related environment.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.
- Ability to handle sensitive and confidential information with discretion.
Preferred:
- Associate’s or Bachelor’s degree.
- Familiarity with PeopleSoft.
- Strong organizational skills with the ability to manage multiple tasks and deadlines.
- Highly organized, detail-oriented, proactive and capable of working both independently and as part of a team.
- Prior experience in Security.
- Bilingual language skills to effectively communicate with a multilingual community. (e.g., Spanish, Portuguese, Polish depending on facility needs.)
Scheduling Requirements
Essential Functions:
- Manage and maintain all clerical documentation related to the department.
- Coordinate and file motor vehicle abstract checks for all security staff.
- Organize and maintain training records and compliance paperwork for all personnel across multiple CSH locations.
- Prepare and distribute meeting notes for security department meetings, including those for the Director and Assistant Director.
- To assist with ordering supplies via PeopleSoft finance and supply chain portal, maintaining supply par levels, entering invoices and other administrative or clerical duties.
- Accurately enter and maintain personnel and training data into PeopleSoft and other relevant systems.
- Ensure timely updates of personnel files and records.
- Assist with scheduling logistics and communicate with staff regarding training and documentation deadlines.
- Serve as a liaison between the security leadership team and staff regarding clerical and compliance matters.
- Assist with special projects and other administrative tasks as directed by leadership.
