Summary:
- Responsible for all aspects of coordinating faculty appointments, recruitments, and promotions process through the School of Medicine. Responsibilities include scheduling and staffing departmental COAP meetings, initiating requests for, preparing dossiers, and teaching evaluations. Work in conjunction with the School of Medicine Office of Faculty Affairs processing new appointment, reappointment, and promotion dossiers for standing, associated, and research faculty. Serve as the contact person for onboarding and recruiting new faculty. Complete the Request to Recruit process to include completing the offer letter, compensation letters, and the CPUP member agreement. Responsible for submitting applications for all providers for credentialing in the PennMAPPs system. Complete and update all reappointments in the credentialing system. Responsible for submitting documentation to the State Board for allied health providers supervising agreements.
Responsibilities:
- Responsible for all aspects of coordinating faculty appointments, recruitments, and promotions process through the School of Medicine. Responsibilities include scheduling and staffing departmental COAP meetings and initiating requests for and preparing dossiers and teaching evaluations. Work in conjunction with the School of Medicine Office of Faculty Affairs processing new appointment, reappointment, and promotion dossiers for standing, associated, and research faculty.
- Coordinate new faculty recruitment procedures following affirmative action compliance requirements. Prepare and place advertisements that appear in professional journals. Send correspondence to Departments throughout the United States advertising available openings. Track and submit affirmative action paperwork to the University officer for approval.
- Coordinate and assist in the preparation of faculty teaching evaluation dossiers for submission to the Curriculum Counseling Office, Vice Dean of Education for faculty promotions.
- Primary responsibility for Departmental COAP meetings, including arrangement and follow through. Coordinate with the COAP Chair, keep minutes, and record votes.
- Maintain Department file of Provost Staff Conference (PSC) minutes for official approval of faculty actions. PSC minutes are required to place faculty officially on payroll and update appointments.
- Coordinate Department Mentoring Program annual reports with the Department Chair for submission to the Faculty Affairs Office.
- Manage the credentialing process for new faculty through the Commonwealth of Pennsylvania State Board of Medicine. Works very closely with the OMA to ensure that all credentialing is complete for Faculty and Nurse Practitioners.
- Order lab coats and business cards for incoming faculty.
- Maintain personnel reports for all active and alumni staff including initiation of personnel actions, payroll information, hospital and departmental benefits, and implementation of policies and procedures.
- Work with the Office of Life Support monitoring and scheduling new and renewal courses for faculty for ACLS/BLS training.
- Ensures that all new faculty are trained in Epic.
- Monitor billing compliance for all faculty annually.
- Provide coverage for the Residency Coordinator during lunch and vacation/sick leave as necessary.
- Sets up, organizes, and maintains orderly files and record–keeping systems.
- Creates and maintains accurate records, files, and logs needed for departmental records
enters, updates, and records information accurately and in a timely manner. - Files and retrieves records and other materials in a systematic and orderly fashion, inspecting records for completeness when appropriate.
- Updates and/or purges data as needed to maintain current files and/or records.
- Assists in compiling various database information for various reports and updates faculty information.
- Schedules own time effectively by assigning priorities to daily, weekly, or monthly work activities.
- Avoids crises through systematic planning and follow–through.
- Recognizes problems as they occur and/or reviews records to identify recurrent or existing problems.
- Identifies and uses available resources to assist in resolving problems.
- Actively explores circumstances that interfere with goal attainment and makes appropriate recommendations, as required.
Minimum Requirements:
- Bachelor of Arts or Science (Required)
- Education Specialization:
Business Administration or Health Care Management
Equivalent Experience:
• And 3+ year's Experience in a medical setting is required. - Working knowledge of computer and database software applications is necessary.
