Summary:
- The Office of Volunteer Services is one of the cornerstone of the Penn Patient Experience and the model patient-center care. The Volunteer Services Coordinator will assist the Director of Patient Experience with the operations of the hospital-wide program through the recruitment, screening, training, placement, orientation, evaluation, recognition and retention of volunteer staff. This position supports all existing volunteer programs at Pennsylvania Hospital including but not limited to: Adult Volunteers, Patient & Family Advisory Councils, Undergraduate Student Volunteers, High School Volunteers, 'Paws for Pennsy' Pet Therapy Program and Infant Intensive Care Nursey Cuddlers. Provides operational support to the Welcome Desk, including coordinating the Welcome Desk schedule, recruitment of new employees and ordering supplies.
Responsibilities:
Coordinate and supervise all aspects of the Volunteer Services Program for Pennsylvania Hospital (PAH) in conjunction with the Office of Patient and Guest Relations (PGR).
• Collaborates with volunteers and hospital staff to deliver a coordinated, seamless and professional volunteer service.
• Establishes and maintains effective liaison relationships with other PAH Departments and Units in order to understand their needs which can be met through volunteers.
• Partner with PAH Departments and units to assist with the development of credible, worthwhile and sought-after volunteer opportunities.
• Partners with volunteers; supervisors to confirm adequate training, supervision, and evaluation of volunteers are being undertaken.
• Facilitate the recruitment of volunteers and communication of the mission and vision of the volunteer roles to aid in the inquiries of potential applicants. When necessary, attends, on behalf of PAH local colleges/universities/high schools internship/volunteer events to recruit new volunteers
• Responsible for the management of volunteer applications, orientation, onboarding and all volunteer compliance with hospital Occupational Medicine and HRIS training requirements.
• Manage and serve as the PAH administrator for the volunteer database, and assist the director with monthly reports.
• Assist Volunteer Services to meet financial and operational goals and other administrative requirements, as required and to ensure compliance with corporate, state, and federal regulations.
• Coordinates all administrative aspects of the Volunteer Services program.
• Ensure the coordination of patient and family needs for volunteer services and will oversee the development of and implementation of the plans of care to meet those needs.
• Provides accurate information to volunteer supervisors in areas relating to volunteerism.
• Provides accurate information to Director of Patient Experience routinely (e.g. monthly activity reports, cost value analysis,
recruitment plan, etc.).
• Leverages PAH platforms for voice of the customer (VOC) data to enhance and improve patient experience through utilization of volunteers.
• Acts as the primary point of contact for routine queries from volunteers, prospective volunteers and hospital staff.
• Leads the coordination of the volunteer recognition program on an annual basis and more frequently as deemed appropriate.
• Oversees ordering and issuing of meal vouchers, parking vouchers and any other benefits offered to volunteers.
• Participates in educational programs and in-service meetings when appropriate.
• Participates on hospital committees when requested.
• Continuous survey readiness; provides input to update policies, guidelines and procedures of the Program
• Performs duties in accordance with Penn Medicine and entity values, policies, and procedures
Other duties as assigned to support the unit, department, entity, and health system organization
Education or Equivalent Experience:
- Bachelors degree required.
- 2 years experience working with volunteers preferably in an academic medical center required.
