Position Overview
ESSENTIAL FUNCTIONS
- Types letters, memoranda, reports, contracts, forms, documents and other materials as needed from drafts or standard formats using basic features of MS Word. Proofreads and corrects completed work.
- Prepares large mailing projects using merge functions to create labels, collates materials, and prepares envelopes for timely mailing.
- Organizes and maintains department files and ensures that all materials are filed accurately and in a timely manner. Maintains confidentiality of information.
- Enters accrual data into spreadsheets or existing databases. Runs and distributes routine reports on a timely basis. Maintains lists and logs.
- Sorts and distributes department mail as it arrives.
- Maintains, monitors, and orders office supplies, letterhead, and envelopes to maintain adequate supplies for anticipated special projects.
- Schedules conference rooms and coordinates meeting arrangements in a timely manner.
- Performs a variety of other clerical tasks including, but not limited to: makes copies, sends and receives faxes, contacts travel agent to make travel arrangements as needed.
- Serves as first point of contact for visitors and callers to the department or facility.
- Answers and screens telephone calls and takes accurate messages.
- Responds to inquiries from callers and visitors or refers to department staff.
- Greets and announces visitors and notifies appropriate staff member. Distributes passes as required by department or operating unit policy.
- Performs other duties as assigned.
MINIMUM REQUIREMENTS
- Education: High school diploma or GED.
- Experience: Two years of clerical, secretarial, office, or administrative experience.
- Other Credentials:
- Knowledge and Skills: Has excellent organizational skills.
- Special Training: Proficiency in Microsoft Office (Word, Excel).
- Mental, Behavioral and Emotional Abilities: Possesses a friendly demeanor.
